1. At Safe Place for Youth, what is the step by step workflow when a host intake application is not accepted?
2. What are some reasons why host intake profile may be denied?
3. What is the workflow for host in-person verification?
4. What does host in-person training composed of--what do trainees learn? Is there a structure to this?
5. What are some features that coordinators look for when interviewing a host and do they currently conduct this interview in person or online?
6. Would SPY want to incorporate home inspection online? If so, what is the general process and what are the requirements to pass home inspection?
7. Are there any instances where hosts back out after initial application? If so, what is the step where they back out the most and why?
8. Besides application, are there any paper handouts that are given to the host or the guest?

Questions for SPY (Safe Place for Youth) and PSY (Point Source Youth):

1. In current manual workflow, what is an average duration in between a time when a guest receives an application to completing the application?
2. In current manual workflow, what is an average duration in between a time when a host receives an application to competing the application?
3. Currently, how often does the organization get a phone call with questions from guest or host asking about the progress and requirements of application? If any, how many minutes or hours per day? And what are the opening hours?
4. If described as a percentage, how much percentage of time would you say coordinators put in per week to collect application, explain the application steps for hosts + guests, and tracking application status, and then matching host to guest?

Research Questions

1. How does the guest/host know about their status after applying? Will there be a dedicated tracking system or do we want to give a definite time before their selection or rejection, or can the status be sent via SMS? Industry SLA - Optimum
2. Did we finalize on the status of applications sent to coordinator by host and guest applicants? Example: In review of the figma, I found the following statuses: Sequence of steps in the status and timeframe

3. Have we decided on the turn-around time for application in different statuses or phases of the application?
4. Did we mark all the mandatory information to be collected from guest and host, so that we don’t want them to have sent incomplete application form before we start.
5. Are there any compliance features involved in the collection of PII data? Like what we see in HIPAA compliance in healthcare.
6. If a person is rejected the first time, what is the criteria to ensure the same person is not applying multiple times. Or is there a workflow to inform the rejected person to update his/her current condition, so that you can accept him/her later?
7. Are there steps in the verification process documented somewhere in the application, like for the items for which the verification is done. Example: history of crime, violence etc.
8. For guests, is the parent's approval obtained? Is the verification done for their parents as well? Since, if the parents of the guests are not willing to send their children for this program(for various reasons), it may be a contradiction of collecting their personal information.
9. Is the documentation of verification confirmation (one or multiple forms) is available always, upon request? Is verification completion is time-stamped, manually upload to the system or a page is going to be created in the application specifically for verification.

14. Do we intend to collect health insurance (if they have) from guests? If not, is there a process in the SPY program to provide insurance before they move to host?
15. Once admitted to host, does the guests require re-training process incase the coordinator finds the guests might need one?

3. What are the top concerns coordinators have when making a match? Beyond basic eligibility, how do hosts and guests define a "good fit"? What are the most common reasons for match failures or early terminations?
4. What challenges do coordinators face when reviewing and approving profiles? What bottlenecks or frustrations exist in the process? How much time do they typically spend on: A) Reviewing applications B) Making a match C) Other administrative tasks
5. What are the main challenges you face as a coordinator during screening and onboarding?
6. What type of ongoing support do hosts and guests typically need after a match?
7. What’s the ideal balance between automated decision support and human judgment in the matching process?
8. As a coordinator, what data points should be tracked to measure long-term match success?
9. What would make you feel most supported in your role as a coordinator?
